Project Management Framework Definition - Phase 1

Description:

This was an engagement with the Project Management Office. The joint project team was engaged in the definition of the Project Management process that would be followed by the IT organization. Our team developed a proposal that would later be presented to the executive leadership. The proposed methodology was based on the governance principles of PRINCE 2 tailored to the needs of the organization; it also incorporated some unique features, requirements, and organizational processes.




My role: Project Management SME

Tasks accomplished:

  1. Supported project kick-off and strategy definition

  2. Assessed the current state of the methodology and documentation, including process diagraming (BPMN)

  3. Participated in meetings with executive leadership to identify their expectations

  4. Documented the requirements and expectations, highlighted areas of concern

  5. Identified executive reporting requirements, including portfolio status updates and financial updates

  6. Identified methodology for project estimation and budgeting

  7. Clarified the method for progress tracking

  8. Participated in creation of templates and tools

  9. Considered implementation of a PMIS system

Outcome:

As part of the project, our group drafted the proposed process and presented and coordinated the planning effort with several internal and external stakeholders. After agreement was achieved, an implementation plan was designed and approved by the management. Our team facilitated the documentation and implementation of the agreed-upon framework, including templates, reporting, dashboards, and PM guidance. After the pilot project was successfully completed, some lessons learned were identified and implemented in the next iteration of the framework.
